Civil and Environmental Engineering College of Engineering Job Summary
The Department of Civil and Environmental Engineering (CE/ENVE) is home to approximately 900 undergraduates and 50 graduate students. The department services students studying in the areas of civil, structural, geotechnical, water resources, transportation, construction, and environmental engineering and hosts several student technical clubs and professional societies that are instrumental in our hands on learn-by-doing model.
CE/ENVE is one of the largest departments in the College of Engineering and requires high-level collaboration and coordination between respective industries, departments, alumni, and students. This position will serve to cultivate relationships between industry partners, student organizations, discipline specific faculty groups and our large student body through marketing, advancement, and event planning.
The successful candidate will primarily be responsible for managing our department’s Industrial Partnership Program (IPP), currently comprised of over 40 companies. This candidate will also coordinate IPP events pertaining to the department, serve as the IPP liaison for media services and lead communications between students and companies. The candidate must be self-driven, organized and can work independently at times but also within a larger team.
Duties and Responsibilities
- Serve as the department point of contact for all IPP related matters with alumni, donors, corporate partners, parents, faculty, student clubs, staff, and students.
- Identify and market the IPP to potential new members.
- Correspond to all IPP related inquiries, set meetings for interested new partners and coordinate payment and benefits with new partners.
- Spearhead planning of all IPP and department related events; including but not limited to: Partner’s Dinner, fall career fair, Partner’s Spring Social, annual Alumni Night, Company Days, on site student interviews, etc.
- Collect and organize submitted student resumes and other documents pertaining to company days and career events
- Produce professional marketing content aligned with University branding for department related advertisements, signs, invitations, and programs as needed for IPP events.
- Manage and update department IPP and careers webpages. Design, create and upload content; maintain event calendar; monitor online traffic; ensure functionality and efficiency of webpages.
- Utilize the Advance database to manage and maintain donor records.
- Coordinate with the CENG Advancement Team in donor correspondence.
- In concert with the department chair, manage the publication of the department newsletter.
- Develop creative unique stewardship and engagement plans for all IPP members.
- Participate and assist with the biannual Industrial Advisory Board onsite meetings.
Position Requirements
- Graduation from a four-year college or university and two years of progressively responsible experience in business, marketing, event planning, public relations or a related field. Qualifying experience may be substituted for the required education on a year-for-year basis.
- Ability to plan, organize, market and execute events for students, faculty, alumni, donors and partners of up to 500 attendees.
- Working knowledge of and ability to apply standard theories, practices, principles and techniques related to communications in the public affairs, media, and marketing areas.
- Working knowledge of, or ability to quickly learn, University branding and graphics standards and protocol and institutional etiquette related to public and media relations.
- Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
- Ability to initiate, establish and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
- Excellent organizational and time management skills with the ability to prioritize and coordinate multiple assignments with fluctuating and time-sensitive deadlines.
- Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, online systems, website management, Internet as well as online calendaring and email.
- Must be highly motivated, flexible, respond appropriately to ambiguity and self-directed, with outstanding interpersonal communication skills to effectively interact with members of the campus, community and public.
- Excellent use of English grammar, spelling and punctuation for written and oral communications.
- Ability to quickly learn basic university infrastructure, policies and procedures; adapt as policies change; and learn new technology.
- Ability to appropriately handle confidential information, exercise tact, sound judgment and discretion.
- Ability to analyze operational and procedural problems and develop, recommend and evaluate proposed solutions.
- Ability to work independently, use ingenuity and perspective when considering problems and implement solutions.
Preferred Skills/Experience
- Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service centered attitude.
- Knowledge of campus IT systems/platforms/databases.
- Knowledge of HTML coding and/or Adobe Suite applications.
- Knowledge of web communication techniques, vehicles and formats. Ability to effectively use web technology, including a Content Management System (CMS) to achieve communication goals.
Physical Requirements
- Must be willing to travel and attend training programs off-site for occasional professional development.
- Must be able to work after hours, occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
- Hearing and speaking to exchange information in person or on the telephone.
- Dexterity of hands, fingers, and wrist to operate a computer keyboard and calculator.
- Seeing to read a variety of materials.
- Sitting or standing for extended period of time.
- Physical agility to lift 20 pounds to shoulder height.
- Physical agility to lift, carry, push, or pull objects.
- Commuting on an as needed basis to outside meetings and training locations.
- The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
