About the Role

In this dynamic role, you will manage the CEO's calendar, handle confidential information with discretion, and serve as a key point of contact for internal and external stakeholders. You will also play a vital part in supporting our operations team and various departmental functions, ensuring seamless administrative processes across the organization. The key responsibilities of this position involve:

Executive Support
  • Manage and optimize the CEO's calendar, prioritizing meetings, appointments, and events.
  • Coordinate and prepare meeting materials, including agendas, presentations, and follow-up action items.
  • Attend meetings as needed, documenting notes, tracking tasks, and ensuring timely follow-up.
  • Serve as a gatekeeper, efficiently managing communications directed to the CEO.
  • Handle sensitive and confidential information discreetly.
Business Development Support
  • Facilitate client intake processes by documenting notes, creating ClickUp tickets, and organizing files within Google Drive.
  • Prepare and distribute Requests for Proposals (RFPs), ensuring documentation is organized and accessible.
  • Assist with administrative tasks associated with client acquisition and onboarding.
Administrative and Operational Tasks
  • Organize and maintain electronic filing systems, ensuring documents are accessible and current.
  • Assist team members across departments with detailed client reporting, analytics reporting, detailed presentations and general administrative tasks.
  • Coordinate travel arrangements, including transportation, accommodations, and itineraries.
  • Support event and meeting planning and coordination, both internally and externally.
  • Assist with day to day tasks that help maintain a professional and welcoming environment for team members and clients.
Communication and Coordination
  • Serve as a liaison between the CEO, internal teams, and external stakeholders.
  • Manage, prioritize, and respond to email, phone and Slack messages and ensure CEO awareness of critical communications.
  • Facilitate internal meetings by preparing agendas, capturing meeting minutes, and tracking actionable items.
  • Participate in daily Standups to capture and communicate tasks requiring CEO attention.
5. Special Projects
  • Provide administrative support for ad-hoc projects and initiatives assigned by the CEO and Operations team.
  • Assist in coordinating logistics for company meetings and retreats, client events, and special occasions.

Requirements

  • Minimum of 2 years of experience providing comprehensive administrative support at the executive level.
  • Experience in a marketing or advertising environment is a plus.
  • Bachelor's degree preferred but not required.
  • Ability to prioritize multiple responsibilities and adapt effectively in a fast-paced environment.
  • This position requires strong aptitude for working with a variety of technology tools including:
    • Google Workspace (Calendar, Docs, Sheets, Slides, Drive),
    • Project management software (such as ClickUp,)
    • Slack, and other productivity and collaboration tools.
    • Must be comfortable mastering new technologies.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills, capable of interacting confidently with internal and external stakeholders.
  • Must be highly customer service focused and able to anticipate needs.
  • Strong attention to detail, accuracy, and discretion with confidential information.
  • Knowledge of Google analytics preferred but not required.
  • Experience assisting in the development of effective presentations is strongly preferred.
