Job Description

Grants Manager Associate Required Qualifications (as evidenced by an attached resume): Bachelor’s degree (foreign equivalent or higher). Three (3) years of full-time work within an academic/health care/research setting with experience in pre or post grants management and financial analysis or accounting. Experience with budgeting. Preferred Qualifications: Master’s degree (foreign equivalent or higher). Experience in reviewing and negotiating research grants/budgets, contracts and cooperative agreements from federal and non-governmental sponsors. Knowledge of the roles of IRB and IACUC in meeting federal and state requirements. Knowledge of and experience with RF/SUNY policies and procedures. Familiarity with RFAIR, MyResearch, eCommons, and/or Advarra’s EVAL system. Experience with Stony Brook University administrative processes with Office of Grants Management, Stony Brook Foundation, Procurement/Wolfmart and/or effort certifications. Proficient in Microsoft Office applications. Brief Description of Duties: The Staff Associate will provide administrative and technical guidance and support to faculty and staff seeking external funding for research, public service, and sponsored institutional projects. The incumbent must be a self-starter and be able to work independently. The incumbent must have the ability to handle multiple assignments in a deadline-driven, complex work environment. The incumbent must have excellent communication, organizational and interpersonal skills. The Grants Manager Associate must have strong writing skills.

  • Works closely with the Assistant Director of Research Development on the collection of relevant data for the SBCC’s NCI Cancer Center Support Grant (CCSG) for National Cancer Institute Designation. This involves working with Sponsored Programs, Grants Accounting and multiple academic departments to facilitate the completion of numerous complex data tables required for this grant.
  • Works closely with the Assistant Director of Research Development to maintain the grants and publications database (Advarra’s EVAL system).
● Grants Management:
  • Develops financial forecasts and overviews designed to document, monitor and plan expenditures for the organizations research programs and principle investigators.
  • Manages and tracks the organization's budgets for the 3 research programs. Schedules and monitors the monthly meetings for the 3 research programs. Ensures the research programs are working towards the overall goals of the organization.
  • Manages and tracks the SBCC pilot programs and miscellaneous SBCC funding opportunities. Provides reports to Sr Leadership as needed.
  • Works with and advises principal investigators in all aspects of pre-award activity, including resolving complex sponsored program issues including budget development and contracting issues, and processing of internal paperwork.
  • Works with and advises principal investigators in identifying potential funding sources, prepares/coordinates proposals based upon sponsor guidelines and university policies.
  • Works closely with Shared Resources Directors and AD for Finance & Administration to monitor annual financial status of cores, to ensure deficits are not incurred. Is responsible for the SBCC shared resources vouchers.
  • Creates MyResearch funding proposals, ASSIST applications and other federal grant submissions applications. Oversees the electronic submission and review of new, competing and non-competing grant applications.
  • Designs, generates and analyzes ad-hoc reports using Excel, EVAL database and RFAIR.
  • Reviews and helps resolve potential grant-related issues and assists in developing contingency plans with principal investigators. Also oversees expenditure transfers.
  • Reviews project close dates and ensures that extension requests are, when necessary, made prior to the project end dates and projects are closed in a timely fashion.
  • Keeps abreast of NIH policies and procedures as they relate to the Departmental research programs.
  • Assists the Associate Director of Cancer Education & Training with training related grant applications.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes: This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption. In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly. For this position, we are unable to sponsor candidates for work visas.
